Privacy notice for EDI monitoring questionnaire
Introduction
The British International Studies Association (BISA) is committed to ensuring that your personal data is protected and processed in accordance with the UK General Data Protection Regulation (GDPR). This Privacy Notice explains how we collect, use, and safeguard the anonymous data you provide through this Equality, Diversity, and Inclusion (EDI) questionnaire.
Data Controller
The Data Controller responsible for the processing of your data is The British International Studies Association (BISA), a charitable incorporated organisation registered in England and Wales, with a charity number: 1151260 and VAT number: 982 6566 71. Our registered address is Room 650, 6th Floor, Muirhead Tower, University of Birmingham, Edgbaston, Birmingham, United Kingdom, B15 2TT.
Purpose of data collection
The data collected in this questionnaire will be used solely to evaluate and improve Equality, Diversity, and Inclusion (EDI) practices within the funding and grant application process. The anonymous data will help us understand the demographics and backgrounds of applicants, and identify any barriers they may face, allowing us to implement strategies to promote inclusivity.
Legal basis for processing
The legal basis for processing your data is Article 6(1)(f) of the UK GDPR, which allows for processing when it is necessary for the legitimate interests of the Data Controller. In this case, our legitimate interest is to improve the inclusiveness of our funding and grant application processes. Since the data is collected anonymously, no personal data is processed that could identify any individual.
Anonymity and data security
The data you provide in this questionnaire is entirely anonymous. We do not collect any personally identifiable information, and your responses cannot be traced back to you. We use secure systems to protect the data, and only authorised personnel involved in analysing the information will have access to it. No data collected will be shared with third parties.
Data retention
The anonymous data will be retained for as long as is necessary to fulfill the purposes outlined in this notice or as required by applicable law. As the data is anonymised, it will not be subject to typical data retention rules applicable to personal data.
Your rights
Since all data is collected anonymously, your individual rights under GDPR, such as the right to access, correct, or erase personal data, will not apply in this case because it is not possible to identify individual respondents.
However, you have the right to lodge a complaint with the Information Commissioner’s Office (ICO) if you believe your rights have been violated in any way. More information can be found on the ICO website at www.ico.org.uk.
